POSITION SUMMARY
Performs variety of clerical and management duties that include:
• preparation of client files including KYC, AML and compliance procedures, setting up and maintenance of the archive of clients and companies files,
• communicating with banks, consulates, embassies and other private and governmental institutions regarding the maintenance of companies, opening of bank accounts, legalization of documents and other administrative matters,
• general follow-up, reminders in order to effectively meet deadlines and commitments,
• handling of telephone calls, sorting out and allocation of incoming and outcoming correspondence and emails,
• greeting international clients,
• scheduling appointments and making other meetings and trips arrangements for the company’s management,
• other duties as assigned.
MINIMUM QUALIFICATIONS AND REQUIREMENTS
• Diploma/degree in Business, Law or Accounting preferred.
• Must possess effective verbal/written communication skills, solid mathematical skills, strong organizational skills, and be detail oriented.
• Working knowledge of MS Office and CRM software is required.
• Russian language knowledge is welcome but is not necessarily.
• Experience in law firms, corporate service providers, accounting firms, financial advisory firms and/or banks is welcome.
SPECIAL SKILLS OR EXPERINCE REQUIREMENTS
• Knowledge of methods, practices and terminology used in accounting, taxation, financial and legal environment work helpful.
• Minimum of 1-2 years of general clerical or related to the above experience.
• Excellent written and verbal communication skills required.
• Previous experience using computerized system for information storage and retrieval required.
• The ability to file alphabetically and accurately.
• Ability to manage and complete multiple tasks within specified timeframes.
• Ability to act diplomatically and respectfully when communicating with individuals of varying levels.
• Understanding and appreciation of key customer relationships (internal & external).
• Accuracy and attention to details.
• Commitment to ongoing learning & development.
• Flexible, adaptive, proactive, well organized, resourceful and efficient.
• Handling of confidential and sensitive issues in an appropriate manner.
COMMUNICATION REQUIREMENTS
• One-way - must accurately record client’s information, instructions, messages, and other related data, via telephone, written, computer and face-to-face communication.
• Two-way - must communicate with clients and counterparts in a clear, concise, friendly, and professional manner to provide and gather necessary information via telephone, written, computer and face-to-face communication.
• Written - must effectively express thoughts, concepts, and directions through written media including correspondence, memoranda, and other company-related documentation.
• Confidentiality - must have the ability to maintain a high degree of confidentiality due to the nature of information handled.
Must be a team player and have strong collaborative skills.
