Job Scope
• Manage and coordinate effectively entire administrative works including arranging for infrastructure, ensuring proper maintenance of the general filing system apart from the maintenance of office equipment and telecommunication system.
• Develop administrative and clerical procedures, establish principles and procedures for personnel management with the expertise in business and management principles.
• Establish and maintain continuous improvement processes across business administrative function of the company.
• Consult both internally and externally on matters related to administrative / business management activities and analyse internal processes for implementation of procedural changes to improve operations.
• Evaluate financial and human resource management activities to ensure compliance with Singapore laws, rules and regulations.
• Accountable for preparation and submission of documents for Employment and Dependant’s passes applications and handling various matters reading submission, renewing and cancellation to MOM
• Manage the correspondence with the Regulatory Authorities in regard to the business of the company including proficiency in handling various matters in regard to Income Tax and CPF contribution
• Professional drafting and reviewing of agreements, contracts, documents, and leases, memos and correspondence on behalf of the Directors of the company.
• Planning and controlling budgets for contracts, equipment and supplies.
• Schedule weekly meetings, manage Directors’ calendars
• Provide administrative assistance to the management in arranging hotel, visas and ticketing, as well as liaising with suppliers, designers and printers for corporate gifts and souvenirs
• Develop and maintain a records management system, which included classifying and coding electronic and hardcopy files.
• Maintain excellent communications with other offices in Russian and English
• Accountable for planning and preparation of conferences and meetings
• Preparing outgoing payment orders from company’s accounts in Singapore banks.
• Issue cheques
• Prepare monthly Cash on Hands and Debit Card Spending Reports
• Accountable for arranging for postal and courier service
• Carrying out orders, instructions and internal rules, taking all necessary labour protection measures, maintaining labour disciple.
